What you can do

01

Choose a trigger

Start a workflow from the relevant booking event, status or timing.

02

Set the conditions

Specify products, recipients and the information needed before an action runs.

03

Review the result

Check activity and route exceptions to the right person.

SEE THE WORKFLOW

See the task
from start to finish.

Your people remember which guest needs a message, which form is outstanding and which enquiry needs another reply. That is fragile work to carry in memory.

THE SITUATION

A pre-arrival task runs only when the required information is missing. Completion stops the follow-up; a changed booking takes the appropriate exception route.

What is booking software automation?

Booking software automation uses booking data, events and rules to carry out repeat tasks. For a tour operator, that can mean answering a guest enquiry, creating a booking, sending a confirmation or requesting a waiver before departure. Hubsteer connects these workflows to the booking system you already use.

Keep your reservation system at the centre

Your reservation system remains the source of tour and booking information. Add its API details and Hubsteer imports tour information for the connected AI Agents. Configure the channels, permissions and actions your team needs before enabling a workflow.

Customer Support can create bookings across supported systems. It can also handle supported updates, cancellations and rescheduling, with one important exception: changes to existing Rezdy bookings go to your team.

Start with one workflow you can verify

Choose a repeat task from a recent booking. Define the trigger, the information it needs and the result staff should see. Connect the relevant booking-system account and channel, then test the normal case and an exception.

For a reminder, check what happens when the guest has already replied, a booking changes or delivery fails. Review the outcome with the people running departures before expanding the workflow.

Measure completed work, not just messages sent

Track response time, leads captured, enquiries that become bookings, manual follow-ups and forms still outstanding before departure. Compare the same workflow before and after setup. Keep assisted sales separate from profit and from sales that would have happened without automation.

One operator reported 319 chatbot conversations, 197 leads, 47 conversions and $23,000 in assisted sales over three months. This is one customer’s reported result, not a forecast for another tour business.
